OpenAI has officially rolled out its Shared Projects feature to all ChatGPT users including those on the Free, Plus, and Pro plans. This powerful addition enhances collaboration by allowing multiple users to work together within the same ChatGPT project. This will streamline teamwork, file sharing, and contextual continuity.
Projects in ChatGPT let users organise related conversations, files, and instructions in one centralised space. This eliminates the need to repeatedly explain background details to ChatGPT, ensuring smoother and faster workflows. The Shared Projects feature now builds upon this by enabling team collaboration in real time, making it ideal for professional and creative projects.
When creating a Shared Project, the project owner can invite collaborators either via email or a direct link. OpenAI offers two access levels for team members –
Each Shared Project includes its own private memory, allowing ChatGPT to remember information shared by team members. This means participants won’t have to repeat context or details in future interactions. It’s particularly useful for long-term or multi-phase projects, ensuring consistency and efficiency across sessions.
Private memory also ensures data privacy and security as sensitive or client-specific details remain contained within the project. This makes Shared Projects an invaluable tool for business teams, agencies, researchers, and content creators who want to save time and maintain accuracy in collaborative work.
OpenAI’s Chief Operating Officer Brad Lightcap also revealed more about another major upgrade called Company Knowledge. It is designed to make ChatGPT even more useful in professional environments.
He described it as a way to eliminate “the work around work,” referring to the time spent switching between apps, searching for data, or combining tools to complete tasks.
Company Knowledge integrates ChatGPT with popular workplace tools such as Slack, SharePoint, Google Drive, and GitHub. This allows users to search across platforms, answer questions, conduct analyses, and even perform actions directly within ChatGPT. The feature is powered by a specialised GPT-5 model optimised for workplace productivity, complete with citations for its responses.
Lightcap highlighted how transformative the feature has been in his own workflow, writing that it has “changed how I use ChatGPT at work.” He added, “It can reason across tools to get answers, do analysis, and take action,” calling Company Knowledge “the most impactful thing we’ve built so far” for professional users.
